Setting the Rate Structure
A consultant invoice format hinges on how you price your time or output. You generally choose between hourly billing, a fixed retainer for ongoing support, or a fixed fee for a specific deliverable. Your invoice must mirror this structure clearly so the client sees exactly what they are paying for. If you bill by the hour, list the date, the specific task performed, and the number of hours spent. For fixed fees, describe the deliverable in plain language, such as "Website design and development." Avoid vague terms like "consulting services" without further detail, as this invites disputes over scope.
Decide on your rate before you start work. If you charge £50 per hour, state that rate clearly. If you offer a monthly retainer of £1,000 for up to 20 hours, specify what happens if the client exceeds that limit. Clarity here prevents awkward conversations later. The goal is to make the document factual and easy to verify against your timesheets or project milestones.
Line Items and Descriptions
Each line item should stand alone. A client’s accounts department might not know your internal project codes, so use descriptive titles. Instead of "Project Alpha Phase 2," write "Research and competitor analysis for Q3 marketing strategy." This helps the client categorize the expense correctly in their own books. Include the quantity, the unit rate, and the line total. If you bill a fixed fee, set the quantity to 1 and the rate to the total amount.
Keep descriptions concise but specific. You do not need to repeat the entire contract, but you should reference the key outcome. For example, "Design of three landing pages" is better than "Web design work." This reduces the chance of a payment being delayed while the client asks for clarification. If you have multiple small tasks, group them logically rather than creating a long list of minor entries.

Taxes and Payment Terms
Only include GST lines if you are registered for GST. If you are not registered, you must not collect GST or present the document as a GST tax invoice. You may issue an ordinary commercial invoice. Do not use the term "Bill of Supply" unless you are a specific type of registered supplier, as it is not a blanket label for unregistered freelancers. Registration rules vary, so check current local regulations to determine your status.
Define your payment terms clearly. State the due date explicitly, for example, "Payment due within 14 days of invoice date." Include your bank account details or UPI ID to make payment easy. If you issue the invoice before completing the work, label it as a pro-forma or estimate to avoid confusion. Clear terms reduce the need for follow-up emails and help you get paid on time.
Generating the PDF
Once the details are accurate, you need a clean PDF to send to the client. You can use online tools to create this document quickly. Invoiceful is a free online invoice generator that runs in your browser. It offers five templates, includes GST fields for India, and allows you to embed a UPI QR code. You pick a template, fill in the fields, and download the PDF. No account is required, and no watermark is added. The tool does not store your data on a server, nor does it send the invoice or chase payment. It simply creates the file for you to manage and distribute as you see fit.
