What a compliant Indian invoice requires

An invoice template for India must clearly separate taxable and non-taxable items to satisfy GST regulations. The document also needs specific statutory details that differ from standard international formats.

Whether you are charging a client in Delhi or a supplier in Mumbai, the core data points remain the same. You must list your legal business name, address, and GSTIN (Goods and Services Tax Identification Number). If you are not registered, you state this explicitly. The client’s full name, address, and GSTIN are equally important. If the client is registered, their GSTIN is mandatory for them to claim Input Tax Credit. Omitting it can delay their reimbursement process or cause rejection during audits.

Each line item needs a description, quantity, rate, and total. You must also specify the place of supply, which is usually the client’s location. This determines whether the transaction is intra-state (same state) or inter-state (different states). The invoice number must be unique and sequential. Reusing numbers is a compliance violation. The date of issue is critical because it triggers the timeline for payment and tax filing.

GST versus non-GST structures

The primary difference lies in the tax calculation columns. A standard GST invoice breaks down the tax components explicitly. It shows the taxable value, the CGST (Central GST) amount, the SGST (State GST) amount, and the IGST (Integrated GST) amount. For intra-state transactions, you apply CGST and SGST separately. For inter-state transactions, you apply IGST as a single line item. The total invoice amount is the sum of the taxable value plus the applicable tax.

A non-GST invoice is simpler. It lists the item value and the total due. There is no breakdown of central or state tax components. This format is suitable for businesses below the registration threshold or for transactions that are exempt from GST. However, even non-GST invoices should include a statement indicating that GST is not applicable or that the seller is unregistered. This prevents confusion during accounting reconciliation. The field labels change accordingly, removing the specific tax rate columns and replacing them with a simple "Amount" column.

How to fill in the fields correctly

Start with the header. Enter your business details in the top left or top right, depending on the layout. Ensure your GSTIN is accurate; a single digit error invalidates the document for tax purposes. Next, enter the "Bill To" section with the client’s details. Double-check their GSTIN if they provided one. If they did not, ask for it before finalizing the document.

In the line items section, describe the service or product clearly. Avoid vague terms like "Consulting" if possible; specify "Website Design Services" or "Legal Advisory for Q3". Enter the quantity and the unit price. The calculation fields should populate automatically. If you are using a manual template, verify the math. The subtotal should equal the sum of all line items. The tax amount should be calculated on the subtotal, not on individual lines, unless the tax rates differ by item. Finally, review the "Terms and Conditions" section. Include your payment method, such as bank transfer details or a UPI ID. If you use UPI, generating a QR code for the specific amount can speed up payment collection. Ensure the "Authorized Signatory" field is filled if you are a registered entity. The document is ready when the total amount matches the sum of parts and all statutory fields are present.

Generating the final PDF

Once the data is entered, the next step is converting the editable form into a static PDF. This ensures the layout remains consistent and the document cannot be altered after sending. A clean PDF looks professional and is easier to archive for your records. You do not need complex software to create this file. The process should be direct: input the data, preview the layout, and download the file.

For this specific task, Invoiceful offers a free online invoice generator that runs entirely in your browser. It provides five templates, including specific fields for Indian GST requirements. You can embed a UPI QR code directly into
