A GST invoice in Excel is valid when it shows the details the GST rules require, whatever tool you make it in. For a tax invoice that means: your name, address and GSTIN; a unique invoice number for the financial year; the invoice date; the customer’s name and address, and their GSTIN if they are registered; the place of supply; a description of each item with its HSN or SAC code, quantity and value; the taxable value; the tax rate and amount (CGST and SGST for a sale within your state, IGST for one between states); the invoice total; and your signature. The layout below puts every one of those in a single sheet.

Build the spreadsheet around your transaction

An Excel GST invoice needs more than a tax column. First decide whether you should issue a tax invoice or a bill of supply. The decision is not based only on whether your customer is registered. Composition and exempt-supply cases have different treatment from ordinary taxable supplies.

A practical worksheet layout

Use the top rows for your business name, address and GSTIN, invoice number and date, customer details, and applicable place-of-supply information. Below that, use columns for description, HSN/SAC, quantity, unit price, discount and taxable amount. Add separate tax columns appropriate to the transaction, then a final payable total.

Store GSTINs and invoice numbers as text so Excel does not alter identifiers or leading zeroes. Keep the invoice sequence unique for the financial year. Check the applicable HSN requirements instead of assuming every invoice requires a six-digit goods code.

Example formulas

Suppose row 12 contains quantity in C12, unit price in D12 and a line discount amount in E12. The taxable amount in F12 is =ROUND(C12*D12-E12,2). For this simplified example, enter the total tax rate as a percentage in G12; the tax amount in H12 is =ROUND(F12*G12,2) and the line total in I12 is =F12+H12. Use a percentage value such as 18%, not the number 18.

For an applicable intra-state supply, split the correctly determined total rate between CGST and SGST/UTGST columns. For an inter-state supply, use the applicable IGST column. Do not apply both arrangements at once. Rounding, discounts, multiple rates and special supplies may require a different calculation.

Check a worked example

Assume two units at ₹5,000 each, no discount and an applicable 18% total tax rate. Taxable value is ₹10,000, tax is ₹1,800 and the total is ₹11,800. This is an illustrative calculation, not a recommended rate for any particular product. Reconcile each tax component and the final total before issuing the invoice.

Export without cutting off the invoice

Set a print area, choose the paper size and inspect the PDF preview. Ensure long descriptions, the total, payment terms and required declarations fit. Protect formula cells and save a separate issued copy so later edits do not silently change old invoices.

Before you send it

Invoiceful helps lay out an invoice; it does not determine your registration status, tax rate, place of supply, e-invoicing obligations or eligibility for input tax credit. Check the rules that apply to your transaction and ask your accountant when uncertain. A PDF or payment QR code is not proof of tax compliance.

Questions people ask

Can I make a GST invoice in Excel?

Yes. GST rules set what an invoice must contain, not which software makes it. An Excel invoice with every required field, exported as a PDF, is a normal tax invoice. Businesses that fall under e-invoicing must also report their invoices through the government’s invoice registration portal.

What is the difference between CGST, SGST and IGST on an invoice?

For a sale within your own state you charge CGST and SGST, split equally. For a sale to another state you charge IGST instead. The place of supply decides which applies.

Is there a faster way than building the sheet?

Invoiceful is a free online invoice maker with GST fields, a UPI QR code and PDF download, with no signup. Your data stays on your device.

Want it ready-made? Download the free GST invoice template in Excel: HSN/SAC on every line, and CGST + SGST or IGST that calculate themselves.
