What a GST Invoice Needs in India

GSTIN, place of supply, HSN or SAC, and the difference between a tax invoice and a bill of supply.

The mandatory fields on a GST invoice

A valid GST invoice in India must clearly display the supplier’s GSTIN, the buyer’s GSTIN (if registered), the place of supply, and the HSN or SAC code for every item listed. These specific data points determine the tax rate, the jurisdiction where tax is payable, and whether the transaction is an intra-state or inter-state supply. Missing any of these fields renders the document invalid for Input Tax Credit (ITC) claims, meaning the buyer cannot deduct the tax paid from their own liability.

Tax invoice versus bill of supply

The distinction between a tax invoice and a bill of supply depends entirely on the tax status of the buyer. A tax invoice is issued to registered businesses who need to claim ITC. It must include the tax amount charged, the CGST, SGST, or IGST breakdown, and the total value of taxable supply. A bill of supply is issued to unregistered buyers or consumers who cannot claim ITC. This document omits the tax amount and the GSTIN of the buyer if they do not have one. It is crucial to select the correct document type before filling it in. Issuing a tax invoice to an unregistered person is a compliance error that can lead to disputes or penalties during audits.

HSN codes and place of supply details

The Harmonized System of Nomenclature (HSN) code is a six-digit number assigned to goods, while the Services Accounting Code (SAC) is a six-digit code for services. You must list the correct code next to each line item. For example, selling printed notebooks requires a specific HSN code, whereas providing web design services requires a SAC code. The place of supply field is equally critical. For goods, it is the location where the goods are delivered. For services, it is the location of the recipient. This field dictates whether you charge Central GST and State GST (intra-state) or Integrated GST (inter-state). If you sell to a client in another state, you must use IGST and list the recipient’s state in the place of supply.

Generating a compliant PDF

Once the details are accurate, the next step is producing a clean, professional document. Invoiceful is a free online tool designed for this specific task. You pick a template, fill in the GST fields, and download the PDF. It runs directly in your browser, requiring no account creation and storing no data on a server. The tool includes specific fields for GSTIN and HSN/SAC codes to ensure the layout meets statutory requirements. It also allows you to embed a UPI QR code for payment, which is a practical addition for freelancers and small businesses. The PDF is ready to email to your client immediately. It does not file returns or track payments, but it ensures the document itself is correct and ready for record-keeping. Having the right format saves time during reconciliation and prevents rework when a client asks for a corrected document.
  • Ensure the GSTIN is exactly 15 characters and matches the registered name.
  • Check that the HSN/SAC code matches the description of the goods or services.
  • Verify the place of supply to determine the correct tax rate.
  • Use a bill of supply only when the buyer is unregistered.
  • Download the PDF to ensure the formatting remains fixed for records.
